AI Onboarding Agent vs Chatbot: What Is the Difference?
A chatbot answers questions. An AI onboarding agent gets a customer set up. The two get confused because both talk to customers with AI, but they are built for different jobs: a chatbot waits for a question and returns an answer from a knowledge base; an onboarding agent owns an outcome, sees the customer's screen, and drives a session until setup is done or a human is needed. Many companies run both. They are not substitutes.
Obi is Cor's AI onboarding agent for B2B software companies. It works directly with customers, sees their screen in real time, and guides them through setup, integrations, implementation, and product training. It is not a chatbot, and this page explains the difference concretely.
The core difference: answering vs owning
A chatbot is reactive. Each question is a fresh transaction: question in, answer out, no goal carried between them. An onboarding agent is goal-directed. It opens the session by learning what the customer needs, holds that goal for the whole session, and measures itself on whether the customer ends up set up, not on whether an answer was returned.
Side-by-side comparison
| Chatbot | AI onboarding agent | |
|---|---|---|
| Job | Answer questions, deflect tickets | Complete a customer's onboarding |
| Mode | Reactive: waits for input | Proactive: drives the session |
| Context | The current conversation | The customer's goal, plan, and live screen |
| Sees the screen | No | Yes, with the customer's permission |
| Scope | Your docs and site | Your product plus the other apps setup touches |
| Session length | One question at a time | A full guided session, resumable |
| When it fails | Wrong or unhelpful answer | Escalates to a human with full context |
| Typical owner | Support | Onboarding, implementation, or Customer Success |
What a chatbot does well
Chatbots are a genuinely good deflection layer. High-volume, repetitive support questions get answered instantly at any hour, and modern chatbots grounded in good documentation resolve a meaningful share of them. If the customer's problem is a question with a known answer, a chatbot is the cheapest way to deliver it. The honest limit: when the answer is "here are the seven steps", the chatbot's job ends exactly where the customer's work begins.
What an onboarding agent does that a chatbot cannot
It runs the seven steps with the customer. Because it sees the real screen, it notices the settings page does not match the docs, catches the wrong value as it is typed, and adapts when the customer's goal turns out to need a different path. Because it holds the goal, an interruption on Tuesday resumes on Thursday without starting over. And because setup crosses apps, it guides the customer through the CRM connection or the spreadsheet cleanup, not just your own product.
When to use which
Use a chatbot when the volume is questions with answers: billing questions, feature lookups, troubleshooting with known fixes. Use an onboarding agent when the job is work with an outcome: initial setup, integrations, data import, training new users, re-onboarding new staff at existing accounts. Use both when you have real support volume and real onboarding volume; route by intent, and let each escalate to the other or to a human. Example: the same customer, both tools
A customer asks "how do I connect QuickBooks?" The chatbot returns the help article, correctly. The same customer in an agent session says the same sentence; the agent opens the integrations page with them, watches them authorize the connection on their own screen, catches that they picked the wrong QuickBooks company file, fixes it, and confirms data is flowing before the session ends. Same question, different job.
